Privacy Policy

This Privacy Policy explains how Eugene Odhiambo ("we," "us," or "our") operating PawVoice ("the Service") collects, uses, and shares information about you. It describes what actually happens when you use the Service — please read it before you start.


1. Who this applies to

This Privacy Policy covers anyone who creates a PawVoice account, adds a pet, or calls our phone number.

2. Information we collect

Account information

  • Email address, name, and account role (owner or sitter).
  • Phone number, stored in international (E.164) format. This number is how we identify you when you call.

Pet information

  • Your pet's name, species, breed, age, and any notes you or a linked user add.

Voice call and activity log data

  • When you call our number: your caller phone number, the call duration, and the call recording and transcript.
  • The structured log we extract from your call: which pet, the activity type, the duration, and your notes spoken as close to verbatim as reasonably possible.
  • Session and usage records, used for billing and to keep the Service reliable.
  • If other people speak during your call, their voices may be captured in the recording and transcript.

Payment information

  • Your email, the payment amount, currency, and payment status.
  • We do not store your full card number or banking details. Those are handled entirely by our payment processor.

Invitations and sharing

  • Email addresses of people you invite to a pet record.
  • Tokens and links used to grant view-only access.

3. How we use your information

  • To run the Service: answering your calls, turning your speech into structured logs, and showing them to you and to people you've linked to a pet.
  • To recognize you by your registered phone number when you call.
  • To bill pay-as-you-go usage, top up credits, and manage your balance.
  • To let you invite others — and be invited — to share a pet's records.
  • To monitor service quality and fix problems (aggregating usage and error rates).
  • To contact you about your account, billing, or changes to this policy.

We do not use your data to train our own AI models. We do not sell your personal information.

4. Call recording and AI processing

Calls to PawVoice are processed by AI voice and language models to turn what you say into structured log entries. The assistant tells you the call is recorded and processed by AI at the start of every call, before you speak. Continuing the call after that announcement means you consent to this recording and processing. If you do not consent, please end the call.

Your call audio and transcripts are handled by our voice infrastructure provider, Vapi, and its model and transcription sub-providers (OpenAI for extraction, Deepgram for transcription). See Section 5.

Zero Data Retention. We have enabled Zero Data Retention (ZDR) on our Vapi account. With ZDR active, Vapi does not retain call recordings, transcripts, messages, summaries, or structured outputs after a call ends — it processes them in real time and discards them. Vapi keeps only the operational metadata (call history, cost, latency) needed to run the Service and show your dashboard.

5. The companies we work with

We use the following service providers to operate PawVoice. Each handles only the information needed to perform its function, and only to provide the Service:

We may add or replace providers as the Service changes; any material change will be reflected here.

6. How long we keep your information

  • We keep your account, pet, and log data for as long as your account is active.
  • By default, we delete inactive account data 24 months after your last activity, whether or not you've asked us to.
  • Recordings and transcripts are not retained by our voice provider (ZDR is on).
  • You can delete your account and all of its data yourself at any time from Settings → Delete account. This permanently removes your profile, the pets you own, activity logs, call history, and payment records. You can also email us at support@pawvoice.xyz. We act on deletion requests promptly, normally within 30 days, except where we must keep certain records for legal or accounting reasons.

7. Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain uses, including under the EU/UK GDPR and US state laws such as the CCPA where they apply to you.

To use any of these rights, use the in-app deletion flow or contact us at support@pawvoice.xyz. We may ask you to verify your identity first, and we'll get back to you as soon as we reasonably can.

8. International data transfers

We are based in Kenya, and several of our providers operate in, or process data within, the United States. Your information may be transferred to and processed in countries other than your own, where data-protection laws may differ. By using the Service, you understand and agree to this transfer.

9. Cookies and tracking

We only use cookies and local storage strictly necessary to keep you logged in and run the Service (set by our authentication provider, Better Auth). We do not use advertising or analytics cookies, and we do not run visitor-tracking scripts.

10. Children

The Service is not for anyone under 18, and we don't knowingly collect personal information from children. If you believe a child has given us information, please contact us at support@pawvoice.xyz and we will delete it.

11. Security

We take reasonable steps to protect your information, but no method of transmission or storage is completely secure, and we can't guarantee absolute security.

12. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll let you know (by email, notice in the app, or both) before they take effect.
